Over the next 30 years our shipbuilders will construct 20 modern patrol ships and surface combatants for the Royal Canadian Navy as part of Canada’s National Shipbuilding Strategy, the largest defence procurement in Canadian history.

This year, we delivered the lead Arctic and Offshore Patrol Ship, the largest Navy ship built in Canada in 50 years and we’re just getting started.

The second ship will be delivered in 2021.

This is a permanent full-time role based in Halifax Regional Municipality, Nova Scotia and the primary language of work is English.

Qualifactions: College Diploma Maintain a high level of confidentiality Excellent communication skills Highly Organized Ability to Multitask and deliver on schedule High Attention to Detail Skilled in Microsoft Office Applications A minimum of five years’ experience in: Office Administration / Management All successful applicants must meet requirements for Canadian Controlled Goods Program (CGP), Canadian Government Security clearance, and U.S.

International Traffic in Arms Regulations (ITAR).

Key Responsibilities Office Administration: Supervise and coordinate office administrators Schedule office administrative staff to ensure appropriate staffing levels at all times Ensure all administrative duties are completed on time Lead, Coach and Develop Administrative staff Establish and maintain strong working relationships with internal and external stakeholders Create and post of project and office communications Coordinate CSC activities with other ISI organizations (Safety, Training, etc) Maintain the office directory and seating plan Mail distribution/ deliveries Front Desk Reception : Greet and direct visitors while following all implemented security procedures Answer and direct phone calls Guest WIFI setup Travel and Expense Coordination : Booking and managing booked travel for all project personnel Prepare travel and expense claims for senior staff Prepare travel and expense claim invoices and reports Coordinate cell phone packages, including roaming for travel Office Maintenance : coordinate facility tidiness, maintenance, and cleanup with service provider Main point of contact for all Facilities/Maintenance Work Orders Monitor office stationery and cleaning supplies & create supply orders for approval Main point of contact for all IT support ticket requests Assist in the processing of system access requests (DIAR/ SAR) Project Support : Coordinate collection and integration of slides for reviews Coordinate collection and integration of data for monthly reports Facilitate team events/ meetings Assist onboarding and setup for new hires and transfers Order and prepare catering for meetings when required Support a culture of teamwork, enthusiasm, and proactive behavior within the office team Other duties as required What We Offer: Irving Shipbuilding is proud to offer a competitive salary and benefits package, including but not limited: A flexible medical, dental, and vision plan; Employee & Family Assistance Programs; RRSP matching program; Health & Wellness reimbursements; Opportunities to take part in job related training and development; Growth and progression opportunities within Irving Shipbuilding and the larger network of the JD Irving group of companies.
