Job PurposeThe purpose of the Parts & Inventory Coordinator role is to effectively support the Operations department by ensuring the proper availability, disbursement and cost management of all parts required for our fleet service. This position will take ownership over a variety of duties; such as, being the direct liaison for communication and coordination of parts purchasing, organization, disbursement and budget tracking. The role of the Parts & Inventory Coordinator is a connective piece within the department to ensure the flow of fleet service and maintenance are handled efficiently. This position is integral to the operations success and will work hand in hand with the Head of Operations. Job Duties & Responsibilities Parts Ordering* Identify key parts providers maintaining communication, contract requirements, payment negotiation and invoice management* Collaborate with the Finance department to provide proper budgeting and payment submission requirements* Maintain active communication with suppliers regarding potential part shortages  * Continuous sourcing of parts by evaluating new and current suppliers for pricing and reliabilityInventory Management* Establish and maintain physical inventory levels of in-house stock room* Collaborate and implement inventory reporting processes for fleet, service and construction* Maintain stock at a level that enables execution of planned service and equipment repair run smoothly for ‘Just in Time’ and ‘Rush’ orders* Ensure calendar accuracy and communication for equipment availability dates* Confirm unit availability, maintaining accurate stock inventory records* Coordinate all required equipment preparations to ensure all equipment required for orders are ready for order date pick up* Evaluate and use required software inventory management systems* Train staff on current and/or newly implemented inventory management* Ensure neat, tidy and organized parts inventory* Receive, package and ship necessary parts and products* Coordinate parts pick up efficiently for both use of time and cost management* Inspect and ensure all parts received are in working order (where possible)* Create vehicle key back up system to ensure lost and misplaced keys are replacedWork Flow Collaboration & Project Management* Work closely with both the Fleet Manager, Service Manager and Construction Manager to ensure that workflow planning is achievable with available inventory* Work with Management teams to provide necessary communication and training within the Operations department and other departments in order to optimize communication* Explain, give training and make suggestion for parts* Train all new staff on parts inventory, ordering and necessary processesCustomer Service & Sales Support* Maintain ongoing communication with the Sales team* Handling customer complaints and working with the team for proper follow upHealth and Safety* Ensure all parts are safely stored* Identify any hazards clearly* Ensure all parts are being safely maneuvered when taken out of inventorySkill & Experience Requirements* Inventory and parts management experience; 2 years min.* Management level customer service experience* Highly proficient in Microsoft Office and Microsoft Exchange* Experience in logistics coordination and administrative functions* Self-start with strong on the spot problem solving skills* Demonstrable ability to work independently* Solid interpersonal skills with a successful track record of working within a team environment* Well organized with a proven ability to navigate several deadlines and projects simultaneously* Detail oriented and ability to work with accuracy* Developed professional written and verbal communication skillsPhysical Requirements and Environmental Conditions* This position may work indoors or outdoors, at various work sites.* This position requires lifting several times a day.* Must by physically able to lift at minimum of 50lbs.* Use of PPE at all times working in the shop area.* Exposed to noise levels that are distracting and uncomfortable. Wearing ear protection can reduce discomfort.* The work may be strenuous and require frequent bending, crouching, heavy lifting, carrying, and reaching.
